Involvement in employee related matters. Major responsibilities include applying company policies and managing internal HR system
Recruitment, Selection and Staff Placement: Coordinate the recruitment process, ensuring advertisement of vacancies, selection of candidates, Work with Line Managers to design interview questions, written/IT tests, case studies, group discussions as required in line with the Personnel Specification and Job Description and keep track of vacancies. Staff placement – calculation of grade points and ensure the complete documentation/endorsement of recruitment documents (job descriptions, position request form, pay plan etc) before actual staff placement.
HR Audit: carry out periodic audit of employee’s files to ensure complete documentation. Ensure the (background Checks) verification of employees references – previous employer, criminal investigation, address and credential are effective and properly documented, Drive internal HR processes and compliance with regulatory requirements by other team members. Carrying out periodic surveys to drive employee morale and comparison with best practice.
Onboarding: Ensure the seamless integration of new employees into the system by planning and tracking the induction/orientation programme , child protection programme and other programmes required for settlement into the community. Ensuring that employees documentation process are complete before the issuance of confirmation letter, Administration of confirmation letters and accurate reporting of confirmation outcome to Head, HR after successful completion of probation ensures all criteria for confirmation are fully satisfied before the issuance of letter
HR Vendor/Partner Management: Maintain relationship with third party providers of HR services e.g. Auditors, HMO, Group life, immigration, pension, NHF etc.) , ensure efficient and satisfactory service delivery. Reconciliation of third party data (entry, exit vis-à-vis cost of service)
Payroll Advisory : Performing payroll/benefit-related reconciliations, overseeing the completion of compensation and benefit documentation, answering payroll questions, facilitating resolutions to any payroll errors, Conducting benefit enrollment process (pension, NHF and NSITF). Involvement in pay alignment /reward activities, Pay negotiations for new hires and ensuring approval from Head, HR.
Employee relations – Preparation of letter using approved templates to – Embassies, banks and other recognized bodies as needed by members of staff, employee correspondence relating to health talks , pensions, banks , leave administration, etc. Other HR communications approved by Head, HR.
Legal Advisory, Documentation and Review – Handling legal correspondences, ensuring legal documents like SLAs, MOUS etc. are in tune with the provisions and expectations of Greensprings School.
Exit Management- Ensures exiting staff complies with exit procedures. Advises payroll and ensure all exits are expunged from payroll, coordinates exit documentation. Staff bereavement; follow up on necessary documentation for deceased staff. Ensure full compliance with Greensprings school exit procedures. Follows through on Accounts department to ensure payment of terminal benefits and other entitlements
Employee Data Management: Management of the Human Resource Information system, ensure efficient data management and up to date records of employees, compiling of employee data and periodic reporting to Head, HR. Providing HR data as needed to auditors or other third parties as approved and requested.
Training and Development : Coordinating and administering Greensprings School training and development programmes and liaising with external training bodies as required. Process employee requests for external training while complying with policies and procedures, Administration and co-ordination of internal training programmes

Proven relevant experience
Basic knowledge of labour law
BSC degree in Human Resources or related field
