Job Description:

A Customer/Sales Support Associates performs administrative tasks to support the sales team and help them to gain and keep customers. The Sales Support Specialist will also respond to customer complaints and queries and will ensure that all orders are processed in a timely manner.

Sales support associates perform a range of administrative tasks to support the sales department.

  • managing customer accounts and performing data entry tasks as necessary.

We are looking for an organized, efficient Sales Support Specialist to be responsible for administrative duties and assisting the sales department in gaining and keeping customers. The Sales Support Specialist’s responsibilities include tracking sales leads, coordinating quotes with sales packs, providing customer service, and managing customer accounts. The Sales Support Specialist is also responsible for monitoring sales and the performance of the sales team as well as recording sales data.

To be a successful Customer/Sales Support Specialist, you should have good time management and organizational skills.

Customer / Sales Support Specialist Responsibilities:

  • Help troubleshoot problems with customer orders, customer accounts and other related issues
  • Provide the sales team with data reports and sales guides
  • Monitor sales performance through sales tracking tools and report progress to sales representatives
  • Identify and keep up with sales trends
  • Work with account managers to create and implement targeted sales strategies
  • Keep up with new product sales launches and make sure the sales team is up to date
  • Provide customer service by staying on top of pending orders and customer requests
  • Identify where improvement is needed in sales practices and make suggestions for improvements
  • Answering customer inquiries, scheduling meetings, and sales appointments, and following up with customers about their order status.
  • Compiling a daily list of sales leads, delegating leads to the sales department, and providing sales data and guides to the sales department.
  • Developing and monitoring performance indicators for sales and staff members, managing sales tracking tools, and compiling reports.
  • Recording sales trends and liaising with account managers to develop sales strategies.
  • Creating and processing orders in a timely manner, processing requests for rush orders, and reviewing pending orders and customer requests to ensure customer satisfaction.
  • Managing customer accounts, following up with customers for administrative purposes, and providing troubleshooting assistance for orders, account statuses, and other problems.
  • Performing data entry tasks for sales figures, metrics, and other relevant information and maintaining an organized and accessible filing system.
  • Handling administrative duties for the company and its executives and management teams.
  • Scheduling customer meetings and conferences.
  • Reporting any unusual activity to your supervisors.

A customer/sales support specialist provides customer support by assisting with sales procedures. They help with sales-related problems, enter new orders, track orders, investigate shipping issues and manage customer accounts. They also enter and track data in sales databases and provide reports to the sales department.

You must be able to work with a sales team, but also work independently. Being goal-oriented, organized, and able to manage time well will help you in this field. You should also demonstrate excellent interpersonal, communication, and customer service skills, as this job involves customer support.

Sales Support Specialist Requirements:

  • A Bachelor’s degree in Marketing, Business, or a related field will be advantageous.

As a customer/ sales support associate, you may have many duties like handling the administrative tasks to make sure the sales team is running smoothly. You may be the communication liaison between departments or between sales teams and senior management.

In a sales support associate position, it is also your job to help customers and make sales. Sales Support Associates need to have excellent data entry skills. You’ll spend a lot of time on clerical tasks such as processing sales orders and answering inbound calls.

Your primary function is to assist the sales staff by supporting the department in administrative duties. You should be skilled in data entry systems and data retrieval. A central part of your job is to help the sales staff.

Responsibilities for Customer / Sales Support:

  • Knowing our solutions, products, & services inside and out so that you can answer questions.
  • Maintain a cheerful attitude while answering all inbound calls and addressing customer or sales team needs
  • Answer all customer email inquiries promptly to resolve any complaint or issue while maintaining customer satisfaction
  • Support sales staff by completing and processing orders and keeping senior staff informed of any issues with delivery
  • Ensure the sales team is on track to meet month-end goals and share innovative lead generating ideas
  • Provide all necessary data to senior management upon request and coordinate meetings between departments
  • Make travel arrangements for the sales team and the senior support staff when needed
  • Establish active communication and engagement with all other departments to help out where necessary
  • Collaborate effectively with the sales team by creating and issuing sales tracking documentation upon request
  • Communicating with customers through various channels.
  • Managing a team of junior customer service representatives.
  • Acknowledging and resolving customer complaints.
  • Processing orders, forms, applications, and requests.
  • Keeping records of customer interactions, transactions, comments, and complaints.
  • Communicating and coordinating with colleagues as necessary.
  • Providing feedback on the efficiency of the customer service process.
  • Ensure customer satisfaction and provide professional customer support.
  • Resolve customer complaints via phone, email, mail, or social media.
  • Use telephones to reach out to customers and verify account information.
  • Greet customers warmly and ascertain problem or reason for calling.
  • Cancel or upgrade accounts.
  • Assist with placement of orders, refunds, or exchanges.
  • Advice on company information.
  • Take payment information and other pertinent information such as addresses and phone numbers.
  • Answer questions about warranties or terms of sale.
  • Suggest solutions when a product malfunctions.
  • Attempt to persuade customers to reconsider cancellation.
  • Inform customers of deals and promotions.
  • Utilize computer technology to handle high call volumes.
  • Closeout or open call records.
  • Compile reports on overall customer satisfaction.
  • Handle changes in policies or renewals.

Qualification Required & Experience

  • You must have a well-functioning laptop (you will use it to work)
  • Familiarity with CRM systems and practices
  • Proven customer support or sales support experience or experience as a Client Service Representative
  • Bachelor’s degree in Business, Marketing, Sales Customer Service or related field is preferred
  • Ability to stay calm when customers are stressed or upset.
  • Track record of over-achieving quota
  • Strong phone contact handling skills and active listening
  • Customer orientation and ability to adapt/respond to different types of characters
  • Excellent communication and presentation skills
  • Ability to multi-task, prioritize, and manage time effectively
  • Experience in supporting senior-level management including making travel arrangements and scheduling weekly meetings
  • Must be willing to arrange your own travel and attend all sales strategy training conferences off-site
  • Demonstrated ability to assist sales teams with any additional work as needed with a can-do attitude
  • Must have excellent verbal and written communication skills with a clear and friendly speaking voice
  • Be strongly skilled in data entry, travel organization and customer service including basic math and reporting skills
  • Attention to detail is necessary as well as being a people person with excellent customer service knowledge
  • Working knowledge of customer relationship management software and data analysis
  • Excellent motivational skills and works well with a team but also able to work alone
  • Strong communication and interpersonal skills and dedication to customer satisfaction
  • Excellent time management and organizational skills and the ability to multitask and prioritize
  • Knowledge of sales practices and the most efficient customer service techniques
